Reschedule Policy and Procedure

 

RESCHEDULE PROCEDURES

All Schedules are FINAL

 

If a game is canceled due to weather or extenuating circumstances here is the process to reschedule a game for specific divisions.  A coach with a conflict is not a valid reason for a reschedule. Each team should have a back up plan to fill in if a coach can't make a game.

 

WINGS, STRIKERS, KICKERS, MINORS, and SENIORS:

1)    Determine if the game is a “Home Game” or an “Away Game”; if “Away Game” see #3

2)    If HOME GAME:

a.    Reach out to our LYSA scheduler(Todd) with date/time options that work for you for a reschedule: [email protected] 

b.    Scheduler will respond with availability for offered dates/time as well as alternatives if needed

c.     Contact opposing coach (Contact info for coaches on schedule e-mailed to coaches previously) to offer up potential make-up dates and work out reschedule details

d.    Confirm with scheduler on agreed upon make-up date; scheduler will confirm you are good to go

3)    If AWAY GAME:

a.    Opposing coach and/or opposing club scheduler should reach out to you regarding potential make-up dates; or you can reach out to opposing coach

b.    Work with opposing club to confirm make-up game

 

 

PASSERS:

1)    If you would like to reschedule a game, reach out to our LYSA scheduler(Todd) AS WELL AS opposing coach(Contact info for coaches on schedule e-mailed to coaches previously) with date/time options that work for you for a reschedule: [email protected]

2)    Scheduler will respond with availability for offered dates/times as well as alternatives if needed  NOTE: Reschedules are not guaranteed and upon availability; will most likely need to be scheduled for a WEEKDAY

3)    Confirm with scheduler on agreed upon make-up date

 

CUBS:

1)    Cubs Games in most circumstances will NOT be rescheduled because of minimal amount of field availability, especially if an entire Saturday is canceled due to weather

2)    If you want to make an attempt to check availability reach out to opposing coach coach(Contact info for coaches on schedule e-mailed to coaches previously) to see if they would like to make the attempt as well and come up with potential dates/times both coaches are available

3)    If both coaches have available dates/times, reach out to our LYSA scheduler (Todd): [email protected] to see if reschedule is possible



If a Game is In-Progress

  • Game is not considered complete unless the full second quarter has been completed, and the third quarter has begun.  If the games ends before that, it needs to be rescheduled.

 

  • Coaches cannot ‘call’ a game on their own, if they do make a call to cancel or end a game, the game may not be made up.

 

  • Once teams are at the field, only the referees may make a decision to stop the game or restart it. 

 

  • LYSA weather policy requires referees to wait 30 minutes after hearing thunder or seeing lightening or after a lightning detector goes off before making a decision to resume play. All of our referees are trained on this; please follow their directions.  They are told to err on the side of safety.

A coach has the right to ask for a reschedule for only the following reasons:

  • Official school function or religious holiday
  • Resulting in his/her team not being able to meet the ‘minimum number of player’ criteria as specified in the SAY National Rulebook (see forms/links tab at: http://www.lovelandsoccer.org).


If a coach believes he/she has a legitimate reason for a reschedule (indicated above) he/she must contact the Game Scheduler no later than four days prior to the scheduled game to make the request. (e.g. For a Saturday game, call or email by the preceding Tuesday.  For a Tuesday game, call or email by the preceding Friday).  The Game Scheduler determines if the reschedule proceeds or not. 

If a reschedule is warranted following procedures will apply:

  • The Home coach shall contact the Visiting coach and together they shall submit (through the home coach) a list of three (3) possible dates to the Schedule Coordinator. 
  • The Game Scheduler will work with the Referee Coordinator to determine the date and time of the reschedule to ensure referee availability.
  • The Game Scheduler will contact the Home coach and inform him/her of the new game date (The Home coach contacts the Visitor coach with this new date).
  • If the requested dates do not work for some reason, the Game Scheduler will contact the Home coach to ask him/her to begin the process again.  These dates should be within 10 days of the original game date.

Should the two coaches not come up with alternate dates within 10 days, then the Reschedule Coordinator will assign a date for them.


If there is a discrepancy of opinion between Coach and Reschedule Coordinator, a protest may be pursued with the LYSA District Representative, whose decision is Final.
